Party Planning Tips

Planning an event on your own and feel like you have no idea what you’re talking about or where to start? Don’t worry! We are here to help!

Here are three main points to guide you in successfully planning and sizing your own wedding or event:

1. Choosing the Right Tent Size

When it comes to outdoor events, selecting the appropriate tent size is crucial. Here’s how to determine the ideal dimensions:

  • Calculate Guest Space: Begin by estimating the total number of guests expected at your event. Then, consider the type of gathering you’re planning:

    • Stand-Up Cocktail-Style: Allocate 6 square feet per person. This layout encourages mingling and minimal seating.

    • Cocktail-Style with Some Seating: Allow 8 square feet per person. This setup accommodates both standing and seated guests.

    • Tea-Style Reception with Some Seating: Plan for 8 square feet per person. This arrangement combines seating with a relaxed atmosphere.

    • Theater-Style (Seated in Rows): Allocate 8 square feet per person. Ideal for presentations or ceremonies.

    • Dinner Seating at 8’ Banquet Tables: Reserve 10 square feet per person.

    • Dinner Seating at 5’ Round Tables: Allow 12 square feet per person.

  • Additional Space Considerations:

    • Dance Area: Allocate 5 square feet per person for dancing.

    • Musicians/Band: Depending on the band size, allocate space accordingly (e.g., a 3-piece band needs 100 square feet for an 8’x12’ stage).

    • DJ Area: Set aside 200 square feet for the DJ.

    • Food Buffet Lines: Allocate 100 square feet per 50 guests.

    • Beverage Service Areas: Dedicate 50 square feet per area for every 100 guests.

  • Calculating Dance Floor Size:

    • Typically, no more than 50% of guests dance at once. Each couple requires about nine square feet. For example:

      • For 100 guests, allocate 200 square feet (suggesting a 15’x15’ or 16’x16’ dance floor).

      • For 150 guests, allocate 342 square feet (consider a 16’x20’ or 20’x20’ dance floor).

  • Match Your Calculations:

    • Add up all the square footage requirements to determine the total space needed.

    • Match this to standard tent sizes (e.g., 30’x30’, 60’x60’, etc.).

2. Seating Layouts for Optimal Flow

  • Round Tables: Ideal for fostering conversation and a warm ambiance. Arrange them in clusters, ensuring guests can comfortably interact.

  • Banquet Tables: Linear seating works well for formal dinners. Consider the length of the tables based on the tent size.

  • Theater-Style Rows: Perfect for ceremonies or presentations. Ensure clear sightlines for all guests.

3. Creating an Inviting Dance Floor

  • Placement: Position the dance floor near the entertainment area. Avoid obstructing traffic flow.

  • Size: Refer to our dance floor size calculations. Remember, not everyone will dance simultaneously.

  • Lighting: Illuminate the dance floor with string lights, lanterns, or spotlights for an enchanting atmosphere.

Remember, successful event planning involves attention to detail, flexibility, and creativity. Whether you’re a professional planner or organizing your own celebration, these tips will help you execute a memorable event!
